Greenbaum Rowe Smith & Davis, LLP, has an immediate opening for an experienced NJ Land Use Legal Secretary to join our Roseland, NJ office. Position will provide secretarial support to 3 attorneys primarily in zoning, sub-division, and related land use practice group. This assignment will also support litigation assignments for attorneys in the Real Estate and Corporate practice groups.

Position Summary:

Provides a wide range of complex technical, document processing and administrative services in the assigned practice group/department(s). The ideal candidate should have 3+ year legal industrial experience in General Litigation, Land Use, Commercial Real Estate. Must be proficient and capable of preparing redevelopment agreements, communicating with township, developers, architect, and financial advisors. Must have a good understanding of e-filing with courts online.

Essential Functions

Requires professionalism, attention to detail, technical savvy, and ability to handle multiple priorities and work in an organized, efficient manner at any given time. Supports the department with general administrative duties and special projects. The successful candidate will effectively manage all aspects of the professional responsibilities of the assigned attorneys. This role also requires extensive coordination with clients.

Responsibilities include, but are not limited to:

Coordinating creation of legal documents as well as the editing, proofreading, and processing of legal documents upon request, including correspondence, memoranda, closing documents, pleadings, or other practice specific documents.

  • Receiving and evaluating telephone calls for supported attorneys, fielding calls and conveying messages as necessary.
  • Communicating with clients, experts, agency personnel and opposing counsel, courts, liaisons, and other law firms.
  • Managing the schedule and documents for multiple land use transactions before state and local agencies.
  • Scanning and e-filing court submissions. Preparing applications to appropriate agencies for a broad range of land use matters.
  • Maintaining legal files (both paper & electronic), organizing, and filing documents in designated order, including updating case information, and scanning.
  • Assisting attorneys for preparation of meetings and court hearings.
  • Assisting with overflow work and other projects as needed.

  • Skilled in handling administrative tasks such as attorney time entry, and processing invoices and expenses.
  • Excellent interpersonal skills, communication skills and the ability to collaborate well in a team.
  • Ability to multi-task and thrive in a fast-paced environment. Qualifications & Prior Experience:
  • High School Diploma or equivalent is required.
  • Requires at least 3 years of experience within a law firm in land use and litigation practice area.
  • Computer proficiency in Microsoft Office Suite applications including document management and other office technologies.
  • Knowledge of laws, legal codes, court procedures or agency rules of assigned practice group/dept. (ex. State and Federal court filing, including e-filings).
  • Experience with e-filing in NJ.

The annual salary range for this position is $57,000 to $65,000. Offering salary will be based on experience and other job-related factors permitted by law. Benefits include medical, vision, dental, FSA, life, long term disability insurance, 401K plan, and paid time off policy. Clearance of standard background check required prior to an offer of employment.
