POSITION OBJECTIVE

Provide administrative support for Training & Development Department staff and all associated functions, processes and procedures.  This includes support for all program oversight and reporting functions as required.

 

RESPONSIBILITIES

Manage and supervise all clerical and administrative staff for the Training & Development Department.

Ensure all training records are entered into the recordkeeping system accurately and in a timely manner.

Review and approve all MNR tuition assistance applications. Forward approved applications to the BSC for processing. Ensure budget guidelines are met. Track applications in existing database.

Assist Manager Program Reporting and Oversight in the development and reporting on the Training & Development Department operating budget.

Oversee and manage payroll processing and all associated documentation for the Training & Development Department.

Oversee room scheduling for all Training Department locations.

Enter material requests into PeopleSoft requisitioning system. Enter receipt in system when received. Review all department requests with Manager Program Reporting & Oversight.

Process changes to position master (PUR’s), and Training Department personnel (PAR’s). Create requisitions in PeopleSoft to fill vacant positions (TAM/TAN). Review all changes with Manager Program Reporting & Oversight and Deputy Director Program Development & Oversight.

Assist with other program oversight, reporting, and administrative tasks as required. 

 

REQUIRED QUALIFICATIONS

Must be proactive and have demonstrated the following knowledge, skills, and abilities:

Ability to plan and organize a diverse and geographically dispersed department.

Ability to handle multiple tasks simultaneously and prioritize workload while adhering to guidelines.

Familiarity with payroll processes.

Strong organizational and project management skills.

Strong interpersonal skills with the ability to interact with all levels.

Excellent verbal and written communication skills.

Working knowledge of Microsoft Office Suite (i.e. Word, Excel, Access) or comparable software applications.

Knowledge of PeopleSoft or related system(s).

Ability to work with confidential information.

 


REQUIRED EDUCATION/EXPERIENCE

Associates degree in business administration or related field. Demonstrated administrative experience, education and/or technical credentials to include an additional two (2) years of related experience may be considered in lieu of degree.

Minimum three (3) years of increasingly responsible business related experience to include complex administrative tasks (or one (1) year of same with a Bachelor’s Degree in Business Administration or related field).

Minimum of one (1) year of experience overseeing a function or staff.

 

PREFERRED EDUCATION/EXPERIENCE

Familiarity with business related experience in a transportation/operations environment.


SELECTION CRITERIA

For applicants who are current employees, you must be in active service and have worked in your present position for at least one (1) year to be eligible to apply for a posted position, and have completed the agreed upon formal training commitment, plus on-the-job training, if applicable (for example: Signal Trainee, Foreman-In-Training, etc.) in order to be eligible to transfer. If you are transferred, you may be required to forfeit your seniority in your present occupation. In addition, Metro-North employees are subjected to an internal investigation, which includes an evaluation of their safety and discipline records and their performance assessments.
