Job Summary
This Project Coordinator role would support the operations and workflows of a busy cross-discipline Marketing team. This dynamic candidate will utilize their exceptional organization & communications skills to support multiple executives on the team. Demonstrating the ability to prioritize competing demands is essential and outstanding customer skills, will the be contribute to the success of this role and the organization.

Key Responsibilities
Scheduling meetings with internal and external teams, agencies and partners:
Maintaining a marketing department activity calendar that includes key marketing events and activities
Meeting planning and facilitation– agenda development and follow-ups
Coordinating department vacation schedule and work coverage
Facilitation of ongoing marketing financial and accounting processes:
Invoice processing, tracking and workflow
Managing project workbooks – obtaining authorizations and signatures
Assisting with month end accrual processes
Overall department administrative expense management
Managing the contract processes for new and existing agency/partners,
Creates and distributes reports, financial and other, critical to the Marketing organization
General support to various adhoc projects; supports the objectives of the department by performing a variety of activities that help maintain and improve functional group processes, programs and/or services
Travel planning and overall administrative help for department directors
Required Skills:
Bachelor’s degree preferred
3 - 5 years’ experience as an Administrative Assistant at the executive level
Experience as an Office Manager is highly desired
Excellent written, editing and accuracy skills
Strong interpersonal savvy & customer service skills
Ability to work cross-functionally & at all levels within the organization including senior leadership
High-level proficiency with Microsoft Office Suite of products
Strong project / process management skills, self-directed, detail oriented and organized
