We are seeking a candidate who has demonstrated drive, dedication, professionalism and a positive attitude. The Pro Bono and Community Service Manager is responsible for oversight of all administrative and marketing tasks as they relate to the Center for Public Interest.

 

Essential Job Requirements:

 Administration:
• Serve as contact person for internal questions regarding pro bono administration and procedures;
• Manage Center's budget including reconciling monthly budget reports, drafting and preparing annual budget, and identifying any significant changes to accounting department as the year progresses;
• Coordinate with records and finance departments on client/matter issues including matter closing, time entries and transfers, disbursement billing, improper openings, engagement letters, and other items as they arise;
• Coordinate audit requests, follow up with attorneys, and draft audit responses for review and signature of Chair;
• Coordinate monthly hours and statistics reports and amend as needed;
• Draft policies, procedures, and other requested writings for Chair’s and Pro Bono Counsel’s review concerning operation of the Center for the Public Interest;
• Maintain and update Center for the Public Interest intranet & external web page;
• Attend Pro Bono Committee meetings and prepare materials for each meeting;
• Perform general research as requested (i.e., re: pro bono policies and practices of other law firms);
• Provide feedback and input on the Center's strategic goals and plans;
• Maintain departmental priorities list for weekly administration meeting;
• Attend and participate in facilitation of Center meetings for associates and counsel who manage pro bono signature projects;
• Review and help to place some incoming pro bono matters from nonprofit partner organizations;
• Prepare some proposed matter summaries for Pro Bono Committee review and track approval/declination of proposed new matters;
• Prepare year-end items for nonprofit partners including statements of in-kind donations, attorney contacts, status updates, and value of services;
• Monitor new pro bono matters and work closely with Pro Bono Executive Assistant on intake.

 Community Service/Outreach/Events:
• Manage the firm's community service program, Lowenstein Cares, including coordination of all details relating to volunteer opportunities in all five offices (i.e. staffing, budgets, marketing of events, etc.);
• Vet pro bono hours and prepare survey responses for annual reporting to the American Lawyer, the Pro Bono Institute, and others;
• Work with Pro Bono Counsel and Chair to compile write-ups for annual report, collect all images, and oversee design process;
• Manage all aspects of Center events, including booking space; working with catering on menus and food presentation; supervising preparation, distribution, and tracking of invitations; working with office services on set-up; compiling hours and matter information relevant to identifying annual individual and team pro bono awards and ordering same;
• Maintain primary relationships with certain nonprofit partners;
• Develop and sustain relationships with other non-attorney pro bono managers in firms around the country and assist in events held by pro bono professional organizations;
• Develop and sustain relationships with corporate social responsibility professionals in local and national networks.

 State Pro Bono Requirements
• Manage the yearly Madden eligibility process including reviewing attorney hours and eligibility for Madden exemptions, overseeing the distribution of notices of eligibility and ineligibility to all attorneys in the firm who hold New Jersey licenses; reviewing lists of organizations certified to confer Madden exemptions in New Jersey, and preparing lists of our attorneys who have volunteered with each of these organizations for the annual recertification process;
• Serve as a resource to firm attorneys on the New York Bar pro bono reporting requirement, collecting and providing the information they need to complete their bar registration;
• Assist summer associates and incoming fall associate classes with information on fulfilling New York’s preadmission pro bono requirement, including drafting or reviewing certifications of their hours for signature by Chair.

Miscellaneous:
• Organize and manage special projects such as the website launch and nonprofit board training;
• Assist as needed in research and client service in pro bono matters;
• Supervise, manage, and evaluate the Pro Bono Executive Assistant and Pro Bono Immigration Coordinator (i.e. workload, direction, etc.).

 

Skills, Knowledge and Abilities:
• Bachelor's Degree from an accredited college;
• A minimum of 5 years of experience working in an administrative capacity;
• Ability to manage processes/procedures, make recommendations, and implement change;
• Demonstrated writing skills and ability to draft quickly, accurately, and with minimal supervision;
• Ability to learn quickly and to work and think independently and creatively in a non-assignment driven environment;
• Ability to work discreetly with highly confidential information and to interact in a polished and professional manner with every level of Firm personnel and with a wide range of nonprofit and private sector partners;
• Experience working in a nonprofit or public interest environment, especially a legal one, is a plus.

 

Office Location: Roseland
Schedule: Monday-Friday, Primarily 9:00 AM – 5:00 PM, plus additional time as required by current projects and initiatives
Amount of Travel Required: Varies
