The Legal Assistant provides support to the Partner/CFO responsible for Legal and Financial matters in the firm.  Serve as liaison between Partner, staff members and internal and external contacts.  This position has minimal supervision and instructions are given verbally.  Must have background in legal, previous experience in Architecture preferred, and at least 5 years of experience is required.

Assist the Partner in the following areas: 

  • Risk Management—monitoring of the firm’s risk management practices and policies;
  • Contracts—contract administration; contract review and negotiation; drafting of standard agreements; record-keeping and tracking; preparation and issuance of legal contract documents;
  • Insurance—applications, record-keeping; issuance of certificates; review/tracking of certificates of consultants; communications with insurance broker(s);
  • Legal Matters—conflict management and resolution; scheduling and coordination of the involvement of outside attorneys and other related parties; progress tracking and reporting;
  • Research—research related to relevant legal matters;
  • Education—scheduling and coordination of educational presentations to the firm; dissemination of information and education materials;
  • Records Management—records storage and retention

Must be comfortable working on various legal, as well as financial projects.

Provide executive level support to the Partner. 

Answer questions and direct internal and external inquiries.  Attend meetings and participate as needed. 

Work with staff to ensure smooth coordination and communications on a variety of issues.

Responsible for dealing with a diverse group of external as well as internal contacts. Coordinate meetings ensuring smooth communications and follow up. 

Coordinate communications for the Partner.  Receive and review incoming and outgoing correspondence, mail, email and telephone calls and refer to appropriate individual as needed. Organize and maintain and follow-up on all tasks, projects, requests, and questions that need approval from the Partner.
