General Description

Responsible, under direct supervision of the Director - Environmental, Health & Safety, for ensuring seamless operational coordination of office and administrative functions within the EHS department, which includes providing administrative support to all EHS department members. This role will consist of working in a team environment to provide superior level support for the department’s internal and external initiatives and the completion of goals and assignments within established time frames. This role will also coordinate with internal business partners to provide support in the development of project budgets, procedures and timelines and ensure ongoing communication is maintained between the Director - Environmental, Health & Safety and assigned project work stream leaders so that issues may be addressed as they arise. Sensitivity to confidential matters. Must maintain a heightened awareness of project status, verify that department members have resources needed to meet assigned objectives and provide accurate and timely updates to the Director - Environmental, Health & Safety. Ad hoc projects and analysis, as requested.

 

Necessary Skills / Attributes

  • Function as the Ambassador of the EHS department and liaison between the Director - Environmental, Health & Safety and internal and external businesses partners.
  • Develop and maintain excellent working relationships on behalf of the EHS department through professional, efficient and effective interaction with all levels of internal and external stakeholders, staff and the public on behalf of the EHS department.
  • Develop and implement efficient office systems with a focus on intake and project/assignment tracking.
  • Order, maintain and track office equipment in coordination with facilities services.
  • Detail-oriented and display high levels of initiative, and the ability to use good judgment when making decisions related to the work assignments.
  • Provide general administrative support to all EHS department members: including coordinating telephone calls with internal and external business partners, departmental meetings, and site visits by department members, securing and maintaining EHS office and departmental supplies, creating and maintaining project reports for executive management and managing the coordination and effective implementation of the EHS audit schedule.
  • Demonstrated excellence in time management skills and support of department members in meeting deliverables in a timely manner.
  • The ability to exercise high levels of confidentiality and discretion given exposure to sensitive information. 
  • Oversee incoming and outgoing mail, shipping and receiving in coordination with FS.
  • Manage supplies and maintenance of storage areas.
  • Provide support for all EHS team travel arrangements and expense tracking, program and stipend supplies, etc.
  • Orchestrate the EHS audit team in terms of travel, distributing pre-work and follow up to ensure process consistency and managing stakeholder satisfaction.
  • Monitor staff credit card purchases and documentation, reconcile monthly P card statement and prepare and monitor departmental budget including detailed management of monthly spend in coordination with financial liaison, management of budget preparation process, and ensuring alignment across all budgetary segments of the department.
  • Track and support management of the calendar of the Director - Environmental, Health & Safety and assist with scheduling meetings on his behalf and ad hoc duties as assigned.
  • Assist with senior leadership communications (mailings, meeting support, and event coordination.)
  • Control of invoicing, tracking payments, processing work for AP
  • Manage budget process with finance, preparing work books, CAPEX requests, aligning department to monthly SGA goals
  • Shepherd internal team regarding staff meetings, agendas, assigning ownership, reporting out and reconciling corrective actions.
  • Preparing quarterly status reports for the team to share with executive management.

Qualifications

Bachelor's Degree with 1-2 years of experience or equivalent work experience is preferred.

Minimum 5 years of administrative work experience preferred.

Ability to clearly and effectively communicate with individuals of varying levels within the Company required.

Excellent written and verbal communication skills.

Capable of working independently, as well as with department members, to achieve the goals of the department and complete assignments within established time frames.

Proficient in MS Office products including Word, Outlook, PowerPoint and Excel.

Consistently demonstrates a commitment to policies and procedures, including but not limited to, attendance, confidentiality, conflict of interest, and ethical responsibilities. 

Requires considerable work utilizing high visual acuity/detail, numeric/character distinction, and moderate hand/finger dexterity. 

May require working additional hours beyond normal schedule.
