My work history is primarily as a construction estimating assistant, project assistant, administrative assistant and/or project accountant, through which I have developed strong customer service skills using my attention to detail and get it done attitude. My personality is professional, outgoing, friendly, and focused on the task at hand. I am self motivated, organized, and enjoy any opportunity to see my team succeed.

Executive Administrative Assistant and General Office:
Maintain and respect the sensitive confidential information that is associated with an executive office; ; correspondence created from notes, dictation or email direction; calendar maintenance; travel research  and arrangements; meeting planning (securing location, attendee invitations and catering); filing all levels of documentation; order and maintain office supply stock; maintaining office machines with toner, paper, and service as needed; research and replace various office machines within budget restraints.



Estimating:
Review and prepare bid documents; researching for construction jobs to bid via internet or local plan rooms; plan reading for equipment determination and count item take off; locating and contacting subcontractors for bids; bid document distribution; identifying bid competition and other interested parties in the bid process.


Purchasing:
Preparation of subcontracts purchase orders and service agreements through the use of a software program (AIA) or word processor, and familiar with legal terms and conditions contained in each; change orders (both subcontractor and GC/Owner); work orders and service call dispatch; create equipment matrix from estimating take off or subcontractor quote; create contract scope of work and schedule of values based on the subcontractor quote and/or project specifications; submittal of product data and documents as required in the contract and/or project specifications.

Operations and Accounting:
Process monthly subcontractor invoices through the construction draw process (AIA); track lien releases and other project specific contract requirements; create and process construction payment applications to responsible party (GC or Owner) along with project specific contract reporting requirements, (OCIP, CCIP etc); create operation and maintenance manuals based on the equipment installed; maintain project specific reports such as daily field reports and OSHA safety documents; accounts payable; accounts receivable; service invoice processing; credit card receipts; expense reports; bank and general ledger account reconciliation; payroll processes; data entry of payroll related items; confidentiality and integrity with regard to sensitive information. 

Software Knowledge:


Excel, Word, PowerPoint, Outlook, Adobe Acrobat Pro(edit version), Lotus --, WordPro, LotusNotes, AS, ACT, Timberline, JD Edwards, Quickbooks, Peachtree, MasterBuilder, FileMaker, Accubid, Quark, and Photoshop. 


 


Proficient with internet search via search engines or manufacturer websites and sending large files via ftp sites. 


 


Familiar with search engines and procurement research sites such as Google, Bing, Yahoo, iSqFt, RFP Depot, and Bid Clerk.  Familiar with processes in local construction plan rooms.


 


Familiar with minority certification processes such as SBA a certification and the numerous other Texas and federal DBE organizations.  Familiar with preparing prequalification packages, online registrations and other documentation required to do business with large organizations and General Contractors.
