Kelvin Smith Library (KSL) is the main library supporting the teaching and research of Case Western Reserve University in Cleveland, Ohio, with emphasis given to the College of Arts and Sciences, the Case School of Engineering and the Weatherhead School of Management. The University Archives (located in the Bioenterprise Building), Kulas Music Library (located in Haydn Hall) and the Astronomy Library (located in Sears Building) are part of Kelvin Smith Library. KSL librarians and staff work with the libraries of the professional schools, the Cleveland Health Sciences Library, the Judge Ben C. Green Law Library, and the Harris Library of the Mandel School of Applied Social Sciences, to coordinate policies and collections. KSL also provides technology services such as the online public catalog and circulation systems to the other campus libraries, as well as to our affiliate libraries, the Cleveland Institute of Music, the Cleveland Institute of Art and the Siegal College of Judaic Studies.

JOB DESCRIPTION
TITLE: Library Assistant, III (Approval Plan Assistant)
DEPARTMENT: Acquisitions
SCHOOL OR MANAGEMENT CENTER: Kelvin Smith Library
I. POSITION OBJECTIVE
The Library Assistant in this position is responsible for order receiving and copy cataloging activities for approval plan books.
This employee performs combined acquisitions and cataloging routines on a daily basis. Acquisitions activities include receiving
approval books online. Copy cataloging activities include searching the online catalog for cataloging copy, verifying accuracy of
the bibliographic MARC record, editing if necessary, and/or item record creation. This employee may also serve as a backup for firm
order receiving if needed. This employee is supervised by the Head of Acquisitions, but may from time to time be given assignments
coordinated by the Head of Bibliographic/Metadata Services.
II. ESSENTIAL FUNCTIONS ñ Functions essential to attaining job objectives.
Acquisitions
Under the supervision of the Head of Acquisitions, will perform monographic acquisitions approval plan functions, including
receiving and invoice approval. Verifies accuracy of MARC/OCLC bibliographic record in online catalog, in relation to physical
piece.
Copy Cataloging
Perform cataloging for copy downloaded via OCLC PromptCat in Books format and based on current stands and library practices.
Makes adjustments to cataloging copy as necessary, or replaces record with copy from the OCLC database.
Ensures that item records have complete location, call number and barcode information. Attention to detail is important.
Also performs receipt work and invoice verification on approval plan books with no Promptcat cataloging.
Firm Order Backup
Assists the Firm Order Assistant LA III in ordering and receiving books and during peak periods including class reserve rush
ordering and receiving.
III. NON-ESSENTIAL FUNCTIONS ñ Marginal or infrequent functions
Database Maintenance
Assists in the maintenance of the online catalog by changing bibliographic and item records as directed by the Head of
Bibliographic/Metadata Services or other cataloging supervisors.
IV. CONTACTS - Include position contacted; frequency (daily, weekly, etc.); and purpose of contact.
A. WITHIN YOUR DEPARTMENT/DIVISION OR MANAGEMENT CENTER
Daily contact with library staff from the Technical Services areas, as well as librarians and staff involved in collection
management.
B. WITHIN THE UNIVERSITY
Occasional contact with students, faculty and staff of the University seeking Information concerning books received, location
of materials, etc.
C. EXTERNAL TO UNIVERSITY
Extensive contact with approval vendors in communicating questions andresolving problems.
D. STUDENTS
There is only incidental and occasional contact with students.
V. SUPERVISORY RESPONSIBILITY - List number of positions and titles.
There are no supervisory responsibilities assigned to this position.
VI. REQUIREMENTS - Indicate whether required or preferred.
A. EXPERIENCE
Two years library experience desired, preferably in a cataloging or acquisitions related position.
Experience with an online library system is preferred.
B. EDUCATION/LICENSING
High school diploma required; college degree is desired.
C. ESSENTIAL SKILLS
Aptitude for detail is required, as is the ability to work independently and quickly with a high volume of daily work.
Ability to communicate effectively both orally and in writing is necessary.
Good organizational, analytical, communication (both written and oral), and interpersonal skills required.
D. TECHNICAL SKILLS
Basic typing/keyboard skills are required. Accuracy is essential.
Experience with computer technology, including basic ability with personal computers, workstations and networks is required.
Basic knowledge and understanding of monograph cataloging and ordering.
Working knowledge of Anglo-American Cataloging Rules (AACR2).
One year of hand-on monographs cataloging experience.
Working knowledge of OCLC Cataloging and INNOPAC library systems desirable.
VII. WORKING CONDITIONS - Describe general conditions and hazards.
This job is performed in normal office conditions during normal office hours. The work of this position requires extensive use
of a computer workstation.
